Event Captain
Elawa Farm Foundation’s mission is to steward a historic farm that enriches greater Lake County as a center for experiential learning to broaden access to education, nutritious food, and our local food system. We gather community through food and agriculture with community-based programs and events.
Job Summary:
The Event Captain supports the planning, coordination, and execution of events, ensuring that every detail is meticulously handled to deliver exceptional experiences for clients and guests.
Work closely with Event Manager to execute timelines, logistics and coordinating with internal teams to ensure all arrangements are in place.
Work with Event Manager to ensure all events are staffed appropriately.
Ensure proper inventory of FOH supplies and equipment are on site and functioning in time for event.
Coordinate setup, layout, and decoration of the venue according to client specifications, in partnership with Event Manager.
Manage on-site logistics during events, including seating arrangements, audiovisual setups, and catering services.
Ensure event teardown is completed properly and venue is locked and secured before departure.

Responsibilities:
1. Event Planning and Coordination:
Work closely with Event Manager to execute timelines, logistics and coordinating with internal teams to ensure all arrangements are in place.
Work with Event Manager to ensure all events are staffed appropriately.
Ensure proper inventory of FOH supplies and equipment are on site and functioning in time for event.
2. Venue Management:
Coordinate setup, layout, and decoration of the venue according to client specifications, in partnership with Event Manager.
Manage on-site logistics during events, including seating arrangements, audiovisual setups, and catering services.
Ensure event teardown is completed properly and venue is locked and secured before departure.
3. Team Leadership:
• Provide direction and guidance to ensure event servers understand their roles and responsibilities.
4. Problem Solving and Crisis Management:
• Anticipate and resolve any issues or challenges that may arise during events, such as last-minute changes, vendor cancellations, or guest concerns.
• Implement contingency plans to maintain event timelines and quality standards, under the guidance of Event Manager
5. Post-Event Evaluation:
• Identify areas for improvement and incorporate lessons learned into future event planning processes.
Skills and Qualifications:
Proven experience, ideally for 5+ years, as an Event Captain or similar role, preferably in the hospitality or event planning industry.
Strong organizational skills and attention to detail.
Excellent communication and interpersonal abilities.
Ability to multitask and prioritize tasks effectively in a fast-paced environment.
Problem-solving skills and the ability to remain calm under pressure.
Knowledge of event management software and tools (e.g., Tripleseat) is a plus.
Working Conditions:
Events will require work during evenings, weekends, and holidays.
Physical demands include standing for extended periods and lifting heavy objects (e.g., equipment, decorations).
Reports to: Event Manager
Compensation: $28 hour, non-exempt
